AI file notes from your meeting recordings, ready for your review.
Upload a Zoom or Teams recording, any meeting audio or a transcript. The meeting assistant drafts the file note on the client record, and you review, edit and approve it.
What AI file notes mean in fp one.
File notes matter for compliance and take time to write. The meeting assistant drafts the note from the meeting itself, in your practice's format, so the adviser starts from a draft rather than a blank page.
fp one does not record the meeting itself. Record it the way you do now, in Zoom, Microsoft Teams or on another device, then upload the recording. A pasted transcript works too.
Consent comes first. Before a recording is uploaded or a transcript is drafted from, you confirm that everyone present agreed to the recording and to AI-assisted drafting, and the consent is recorded.
How a file note comes together, on one client record.
Who said what
You confirm who is speaking, adviser or client, before drafting. Names and identifiers are masked before the meeting is used for AI drafting.
A template for each meeting
Templates follow the meeting type, from a first meeting through strategy and SoA presentation to a review. The draft takes account of the client's recent meeting notes.
Reviewed as one document
The draft opens as one document for you to read and edit. When you approve it, the note is filed to the client record.
Actions become tasks
After a review meeting, the agreed actions are laid out on one page. Approve it and each ticked action becomes a task, dated from the meeting's own timing where one was given.
What stays with the adviser.
The assistant drafts; the adviser decides what is filed. A draft becomes a file note when you approve it, and AI does not contact clients. Over time the assistant can propose drafting preferences from the edits you make, and a preference applies once you confirm it. Recordings and working copies are deleted after a set period, while the approved note stays on the file.
Who it suits.
Advisers who meet clients online or in person and want consistent file notes without writing each one from scratch. Approved notes stay on the client record, where the paraplanning assistant can draw on them when the advice is drafted. It is designed to shorten the time from meeting to filed note.
Questions advisers ask.
Does fp one record my meetings?
No. You record in Zoom, Microsoft Teams or another tool, then upload the recording or paste a transcript.
How is consent handled?
Before you upload or draft, you confirm that everyone present agreed to the recording and to AI-assisted drafting, and the consent is recorded.
How long are recordings kept?
Recordings and working copies are deleted after a set period. The approved file note stays on the client record.
Where does the AI run?
AI on client work uses enterprise AI services in Australian regions, and fp one is designed so client data is not used to train AI models.
